- Public Officer (all Nominees must be a permanent resident of the ACT)

no later than midnight on Friday 10th February 2012 if submitted electronically. Nominations received electronically after this time will not be accepted. To post your Nomination forms, please post to MTBA AGM Nominations, PO Box 6310 Alexandria NSW 2015 to be received at that address by 5pm on Friday 10th February 2012. Nominations received in the PO Box after this time will not be accepted.

MTBA website.
Once the nomination period is closed all Nominees will be listed and viewable on the MTBA website before the e-Voting system opens at noon on Saturday 11th February 2012. Changes to nominee details and supporting information are not permitted once voting opens.
Voting Procedures
If you are a financial member of MTBA you are entitled to vote for the people you want to hold office and direct the association until the next AGM. Voting will be conducted in 3 ways to allow every member the opportunity to have their say and cast a vote. You can vote electronically via an e-Voting system which is secure and private, or you can vote in person by attending the AGM and you can vote by Proxy.
If a member is found to have voted more than once, ie electronically and then either in person or by proxy; or under different MTBA member numbers, then all votes that member has made for the meeting will be deemed invalid.
1. Electronic Voting
MTBA has developed an electronic voting system for the AGM that members can access after noon on the 11th February 2012 and up to 10am on 17th February 2012.
To gain access to the e-Voting system you must be a financial member and have gained and activated your personal on-line membership account. If you have not already activated your membership access follow these simple instructions:
- An email will be sent to the email address we have recorded for you with a temporary password. Follow the instructions.
- From there you can manage your information, renew/get a replacement card if need be and enter events listed
- Please take the time to check all your details as well.
You must have a valid email address. If the activation email does not come to you it could mean that your email address is incorrect in our records and you should send an email to MTBA to request a re-set of your password. For those that are receiving this by post, if the system tells us that we have no record of an email address for you (which is why we have posted this letter to you) then you must email MTBA and request that your email be added to your records.
Once you have access to the on-line membership system the call for you to place a vote for the AGM will be seen on the welcome page. Simply click the link and you will be taken to the e-Voting system where you can read a synopsis of the vision and qualifications of the Office Bearers and Ordinary Committee members. You can then cast your vote.
Members will only be able to vote once and once only and only financial members at the time the vote is made are eligible to vote. Voting is completely private and secure. Information on the votes made is limited to the fact that you voted (by name, member number and member expiry) and the time and date the vote was cast. The results of the total vote are only available to the Returning Officer in summation - ie 134 votes for John Doe for the role of President etc. A list of the member numbers, names and dates of birth for those who voted (but not who they voted for) is available to the Secretary to ensure that members do not vote more than once.
2. Voting in Person

3. Voting by Proxy
If you cannot attend in person and do not wish to, or can not, vote electronically, you can still exercise your right by voting by Proxy. This involves filling out the proxy voting forms available on the MTBA website

to give notice of your intention to vote by proxy. This notice needs to be received by the MTBA Secretary no later than 10am on Friday 17 February 2012, and
Send your completed proxy form by email to the

or have your nominated proxy present the completed proxy form in person to the MTBA Secretary at the venue registration or by fax to the CA Offices
Proxy votes that do not match the names listed by the MTBA Secretary via prior notification will not be accepted as per the MTBA Constitution.
No individual member, if named as a proxy vote holder may hold more than 5 proxy votes as per the MTBA constitution. Proxy votes cannot be voted electronically.Proxy vote holders must be financial members at the time the vote is cast.
